Position Summary:

Manages a variety of general office activities. Successful candidate must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.


Primary Responsibilities (other duties as assigned, including but not limited to clerical, administrative functions and/or documents/ materials delivery as requested):

Project Management Support

  • Deltek projects set up
  • AR ledger/Collections and AP Ledger
  • Project budget preparation and input in Deltek
  • Work closely with PMs to code sub invoices according to contract
  • Liaise between PMs and Accounting
  •              Weekly
  • Deltek Project Summary Report
  • Deltek Project Detail Report
  • Assist in the submittal and approval of teams’ timesheets, ensure proper coding and timely submission
  •              Monthly
  • Monthly billing of all projects, prepare invoices & review % advance. Manage all sub consultants invoices, working with PMs and M.D. in the revision and approval of invoices
  • CEO Monthly summary report preparation              
  •              Quarterly
  • Vacation & Sick time report
  • Training & Development report
  • Projects Log update
  • Project Proposal Support
  • Prepare PSAs
  • Project Start Up & Closing Support
  • Provide project # for new projects (Deltek & R Drive)
  • Create PES for New Projects by using template
  • Help create draft budgets for new projects for PM/ MD to review
  • Coordination with Accounting, send contract, budget, PES
  • Bill Retainers in Coordination with Accounting and corresponding PM/MD to review
  • When project closes, provide final Deltek report and upload in R drive, send copy to MD
  • Other Support to Design Team
  • Organize and maintain R file




  • Communicate with Managing Director and HR about possible personnel related issues that may arise.
  • Coordinate with Management & HR to ensure new hires are provided a well-rounded orientation.
  • Assist M.D. with team’s vacation requests & approvals
  • Assist in preparing annual office holiday & vacation schedules


Experience & Qualifications:

  • Prior working experience with:
    • Working in a bookkeeper or office administrative capacity in an Architectural or Engineering Firm.
    • Deltek Vision Experience
    • Deltek Project Set Up
    • AR Ledger/Collections and AP Ledger
    • Project budget preparation and input in Deltek
    • Work closely with PMs, coding sub-contractor invoices according to contract
    • Liaison between PMs and Accounting
  • Proficient writing and verbal communication skills
  • Proficiency with Microsoft Office programs such as Word, Excel, Outlook, etc.
  • Punctuality, reliability and a strong work ethic is essential
  • Professional appearance and demeanor is required
  • Formal educational training in Business, Accounting or related highly desirable; a minimum of a high school degree is required.
